Your No-Stress Birthday Party Checklist
You want your child’s birthday to be magical, but between the guest list, the food, and the entertainment, it’s easy for the "magic" to feel like a second full-time job.
Since we host parties at STEAM Station, we’ve seen what makes a celebration truly "no-stress." Here is your ultimate timeline to keep the "Happy" in Happy Birthday!
8 Weeks Out: The Foundation
[ ] Book the Venue: Secure your date at STEAM Station (especially for those popular Saturday slots!).
[ ] Draft the Guest List: Decide if you're doing the whole class or a smaller "squad."
[ ] Pick a Theme: (Tip: You can add themed tableware onto your birthday party booking - one less detail for you to worry about!).
[ ] Decide on Goodie Bags: Do you want to DIY or should STEAM Station handle them for you? Add these onto your party booking for a stress-free experience.
4-6 Weeks Out: Invitations & Cake
[ ] Send Invites: Digital invites are your best friend for quick RSVPs.
[ ] Order the Cake: Or confirm with your favorite local Knightdale bakery. Cake Town is a popular commercial option for cakes and Station E Sweets is a popular home baker for cupcakes (Tip: ask about the chocolate cupcake toppers at Station E Sweets!).
[ ] Plan the Food & Drinks: Decide what you're serving beyond cake and pizza, if anything. (Tip: You can add on novelty ice cream, snacks, and additional beverages on your party booking page.)
[ ] Confirm Add-Ons: Review your booking and make sure all your extras (themed tableware, goodie bags, etc.) are locked in on your booking page.
2 Weeks Out: The Details
[ ] Finalize the Guest Count: Follow up with any "maybes."
[ ] Order or Gather Decorations: If you're bringing any personal touches like banners or balloons, now's the time to order them.
[ ] Plan the Birthday Child's Outfit: Nothing worse than a last-minute scramble on the big morning! Planning in advance makes sure you’ve washed it and have it ready to go.
1 Week Out: The Logistics
[ ] Confirm with the Venue: We’ll touch base with you to ensure your party room will be ready to go when you arrive. We’ll also need your final, expected headcount (inclusive of all babies, kids, and adults).
[ ] Pack the "Party Kit": Put your candles, a lighter, goodie bags (if DIYing), and any special decor in one bin by the door.
[ ] Fill out waivers: Make sure the guest of honor has a signed waiver on-file. Send a reminder to your guests to fill out their waivers online ahead of time to make the check-in process quicker and easier.
[ ] Prepare the Cake Transport: Confirm with your cake maker who’s bringing the cake to the venue. If it’s you, make sure you have a flat, safe spot in your car for the cake. (Ask us about refrigeration if you need it!)
The Big Day: The "No-Stress" Strategy
[ ] Charge Your Phone: When you wake up in the morning, make sure your phone is charged. You'll want that camera battery at 100%.
[ ] Arrive 10 Minutes Early: Our team will handle the heavy lifting. Your job is to be the "Chief Celebration Officer."
[ ] Let the Kids Move: At STEAM Station, active play and creative exploration are built right into the experience, so the entertainment takes care of itself. Sit back and watch the joy happen!
[ ] Take the Photos: Or better yet, ask a friend to be the "designated photographer" so you can stay in the moment.
[ ] Cue the Cake Moment: Give our team a heads-up when you're ready for candles so we can help gather everyone and make it special.
[ ] Give Goodie Bags on the Way Out: A great last impression and a natural signal that the party is wrapping up.
[ ] Soak It In: You did it! Your child will remember this day, and so will you.
